Welcome to the Center for Digital Narrative (CDN)!
This page collects the most important information you need as a new employee, PhD, postdoctoral fellow, guest researcher or affiliate.
As a new staff or guest at CDN, please make sure you do the following:
1. Join our communication channels
- Join Discord, which is our main informal channel for day‑to‑day communication, events and announcements.
- Make sure you are subscribed to the “CDN Events and Social” shared Outlook calendar.
- Check for news and public events.
2. Get to know our weekly rhythm
- Wednesday Lunches (Wednesdays at 12:00 in the lounge) are mandatory for staff and our main all‑hands meeting.
- Defrag Fridays at 15:00 are optional social and research events.
- Skrivestue (Fridays 09:00–12:00 in the Glass House) is an optional, quiet writing session.
3. Use the correct templates and profile
- Download and use the official CDN templates (external link) and follow the profile manual when presenting your work.
- Use CDN logos and visual material from the official logo package only.
4. Register research output correctly
- All researchers are expected to register publications in the national research documentation system, NVA (external link).
- Remember to acknowledge CDN and project funding and use the correct project number for all relevant publications.
5. Know where to get help
- Absence, travel and leave are handled through the Self‑Service Portal.
- Purchasing goods and services is done via UiBhelp.
- For practical questions, guest registration or letters of invitation, contact the CDN administration.

Working at the CDN
CDN is a research centre with an active, collaborative environment. We expect staff and affiliated researchers to be physically present at the centre most workdays and to participate in common activities.
Weekly and regular activities
- Wednesday Lunches
Held every Wednesday at 12:00 in the lounge. This is a mandatory all‑hands meeting and our most important physical meeting point for information sharing, discussion and social contact. - Defrag Fridays
Fridays at 15:00. Optional social and research‑related events. Activities vary and may include show‑and‑tell sessions, games, talks or going out together. We usually have popcorn; you may bring your own drink. - Skrivestue (Shut‑up‑and‑write)
Fridays from 09:00–12:00 in the CDN Glass House. A quiet writing session for focused work. - Research group meetings and talks
Scheduled throughout the week and announced via Outlook, Discord or shared calendars.
Communication & calendars
CDN uses a combination of digital platforms for internal communication and coordination.
Main channels

Discord is our primary informal communication channel for day‑to‑day coordination, social communication and event announcements. - E‑mail list: all.cdn@uib.no
Used for official announcements and important messages. The list is maintained by Scott Rettberg, Jill Walker Rettberg, Ola Roth Johnsen and Andreas Hadsel Opsvik. - Shared Outlook calendars
All staff are expected to subscribe to the “CDN Events and Social” calendar, contact Andreas to get access if you are not already.
Most research meetings, talks and room bookings are also announced via Outlook calendars. If you need help subscribing to calendars, ask a colleague.
Systems & documentation
CDN maintains and uses a number of IT systems and institutional tools.
UiB systems you are expected to use
- SelfService Portal for absence, travel reimbursements and HR‑related matters
- Outlook for e‑mail, calendars and meeting room bookings
- UiBhelp (external link) for purchasing, orders and support requests
Systems maintained by CDN and available to you at the center
- Sandbox (external link) is a web server for CDN researchers to build experiments without needing their own development environment
- Shlink (external link) is a URL shortener and redirection service
- Inventory (external link) management system for equipment in the center
- Electronic Book Review (external link), CELL (external link) and Collection (external link)
- Zotero, for shared, annotated publications

Publications & research output
All researchers affiliated with CDN are responsible for registering and reporting their research output correctly.
Registering publications and other research outputs
- Publications must be registered in the national research documentation system, NVA – Norsk Vitenarkiv. (external link).
- All researchers in Norway are expected to keep their publication records up to date.
Acknowledging CDN funding
In all scientific publications, authors must state that the research has been partly financed by the Research Council of Norway through the Centres of Excellence scheme.
Suggested wording:
- English:
“This work was partially supported by the Research Council of Norway through its Centres of Excellence scheme, project number 332643.” - Norwegian:
“Dette arbeidet er delvis finansiert av Norges Forskningsråd gjennom ordningen Sentre for fremragende forskning, prosjektnummer 332643.”
Other acknowledgement routines may apply for externally funded projects such as ERC or Research Council of Norway projects. Remember to acknowledge the CDN as well as your project’s funding agency.
Templates, logos & profile branding
When presenting or disseminating work affiliated with CDN, staff and researchers are expected to use the centre’s official visual identity.

Absence, travel & guests
Absence and sick leave
Absence includes holidays, illness, leave of absence and short‑term absence.
- Register absences and sick leave in the Self‑Service Portal.
- Travel and short absences should also be noted on the whiteboard in the kitchen.
- Information about different types of absence (such as welfare and compassionate leave) is available on the UiB Employee Pages.
Travel
UiB’s travel policy applies to all employees.
- Information about bookings, travel agents, insurance and expense claims is available on the UiB Employee Pages.
- Employees at LLE must register travel in advance using the designated travel registration form (external link).
- Use the Outlook calendar to mark when you are away on travels
Inviting guests to CDN
To ensure access cards, workspace and registration requirements are met, the administration must be informed well in advance when inviting guests.
Please contact Ola, Mahaut, Scott or Jill with information about:
- Name and affiliation
- Dates of visit
- Workspace needs
Letters of invitation can be issued by request.
Operating funds, purchasing & grants
Operating funds (Driftsmidler)
Scientific staff, PhDs and postdoctoral fellows have operating funds (driftsmidler) that may be used for:
- Professional travel and conferences
- Books and software
- IT equipment
- Course fees and similar expenses
- Proof reading
Principal investigators also receive operating funds for running their research nodes.
Ordering goods and services
All employees at the Faculty of Humanities must use UiBhelp (external link) when ordering goods and services such as catering, books, courses and conference participation.
Contact the CDN or LLE administration if you need assistance.
Grants and applications
- Faculty‑level support for applications is available at HF.
- Larger grant applications (RCN, Horizon Europe, etc.) must be announced to CDN and LLE leadership well in advance for approval.
- UiB employees may also apply for smaller grants (e.g. Meltzer foundation, University foundation, department‑level grants).
LLE maintains an excellent overview of funding sources and application processes.
Facilities & practical information
Meeting rooms
At Langes gate 1–3, CDN has access to:
- The Glass House
- The Games Lab
- A meeting room on the second floor of Langes gate 1
Rooms can be booked via Outlook by searching for “CDN”.
Lounge and kitchen area
The lounge is also listed in Outlook, but bookings are restricted to leadership or activities involving all staff at the centre.
