Guide for Erasmus students: before you travel

If you're going on an Erasmus exchange at UiB, there's a lot to organise before you leave. This checklist will help you make sure everything is ready before you go.

Before you leave for exchang, you need to:

  • Create a Digital Learning Agreement (DLA)
  • Sign the Erasmus Grant Agreement
  • Take the EU Academy Language Assessment (optional)
  • Complete semester registration at UiB
  • Travelling green? Apply for the Green Erasmus Travel Grant after your exchange semester has been completed.

1. Create a Digital Learning Agreement (DLA)

A Learning Agreement (LA) is a study agreement. All Erasmus students must have a Learning Agreement before going on exchange. It must be signed by: 

  1. the student 
  2. the study programme or faculty at UiB and 
  3. the host university

The Learning Agreement should include the courses you plan to take at the host university, and which courses they will replace in your study plan at UiB.

At UiB, we use the Digital Learning Agreement (DLA), which is created through Mobility Online.

Once you have entered the courses you will take at the host university and signed the agreement, your DLA will be sent to your study programme at UiB (Sending Institution). If everything is approved, your study programme signs the DLA, after which it is forwarded to the host university (Receiving Institution) for the final signature.

Once all three parties have signed, you can sign the Erasmus Grant Agreement and become eligible for the Erasmus grant.

It is your responsibility to create the DLA early enough to allow all parties to sign before the deadline:

  • 30 August for autumn semester exchanges
  • 30 January for spring semester exchanges


You can track the status of your DLA by logging into Mobility Online.

2. Sign the Erasmus Grant Agreement

All students must sign an Erasmus Grant Agreement before departure.

The agreement is signed in Mobility Online and will only become available for signing after your Digital Learning Agreement (DLA) has been signed by all three parties.

You will need to complete the following information:

  • Bank account number
  • Confirm that the semester start and end dates are correct
  • Confirm that your address is correct
  • Insurance information: 
    • European Health Insurance Card (EHIC)
    • Any private travel insurance
  • Signature: sign the agreement digitally

Deadlines

  • 30 August for autumn semester exchanges
  • 30 January for spring semester exchanges

Help with completing the OLA/LA

If you need assistance or advice while completing your Learning Agreement, please contact the academic adviser of your study programme or at your faculty.

We will explain the Digital Learning Agreement in more detail during the Erasmus information meeting, to which all outgoing Erasmus students are invited.

Deadline for the DLA to be signed by all parties

  • Autumn semester: 30 August
  • Spring semester: 30 January

3. Take the EU Academy Language Assessment (Optional)

To take the language assessment: 

The test is called the Placement Test and is available in all 24 EU languages.

  1. Go to EU Academy (external link) and log in
  2. In the search field, “What do you want to learn today?”, type “Placement test”.
  3. Click on the language test you wish to take.
  4. On the course page, click “Enroll” (yellow box on the right).
  5. Then click “Attempt quiz now”.
  6. The test takes approximately 30–45 minutes.
  7. Once you have answered all questions, click “Finish attempt”.
  8. Review your results. The final page displays your language proficiency level.

4. Deadlines and payment of Erasmus Grant

Payment

Approximately 70% of the grant will be paid at the start of the exchange semester. The remaining amount is paid after the exchange has been completed. The grant is paid in Norwegian kroner (NOK).

The Erasmus grant will be paid if you have submitted the required documents in Mobility Online (Digital Learning Agreement (DLA) and Erasmus Grant Agreement). The Erasmus grant is tax-free and is paid in addition to any loans or grants from the Norwegian State Educational Loan Fund (Lånekassen).

Deadlines 

The deadline to have your DLA signed by all three parties and sign your Erasmus Grant Agreement in Mobility Online:

  • Autumn semester: 30 August
  • Spring semester: 30 January

Payment Dates

  • Autumn semester: second week of October
  • Spring semester: late February/early March


We send information about the payment to all students who have completed the required steps for Erasmus grant payment by Mid-September (autumn semester) and Mid-February (spring semester).

What happens if I miss the deadline?  

You do not lose your Erasmus grant if you submit the documents after the deadline. However, if your DLA and Erasmus Grant Agreement are signed after the deadline, your grant payment will be processed and paid at a later date.
