How to nominate students for exchange to UiB

Here you'll find a step-by-step guide on how to nominate students for exchange to UiB and other useful information for our exchange partners.

How to nominate your students

Log in to Nomination Web

The nomination period is: 

  • 15 March - 15 April for the autumn semester or full academic year
  • 1 September - 1 October for the spring semester

Log in to Nomination Web (external link) using your username and password.

  • Username: your email address or joint institutional email address.
  • Password: order a password at the login page the first time you log in or if you need a new password. Enter your username and choose Send password.

Only registered partners can log in and register nominations in  Nomination Web. If you have forgotten your username or need to be registered as a new user, please contact incoming@uib.no.

We expect our partners to nominate their students in accordance with the terms and conditions outlined in the signed agreement.

Register your student

1. Choose agreement

After you log in, you will see an overview of the agreements you can access with your username. Select the relevant agreement and choose Add new nomination to nominate a student on the agreement.  

We expect partners to nominate their students within the subject area specified in our agreement.  This means that a specific agreement cannot be used as a gateway to other faculties or programmes.

Only students nominated through our online system will be processed for the online application. Nominations sent by e-mail will not be accepted.

If you can't find the agreement  subject area registered in your name, please email us at incoming@uib.no and we will check whether your email is registered correctly in our database.  

If you want to nominate your student(s) for two semesters, but are only able to nominate for one semester, please nominate your student for one semester and then email us at incoming@uib.no and explain the situation.  

If you have questions regarding the number of nominees, courses or any other issues related to your agreement(s) with UiB, you should contact your partner at the department or faculty. For university-wide agreements, please contact incoming@uib.no

Other procedures apply for Music Studies: Applicants to Music performance and Music composition should not be nominated by their home university. They must apply in EASY Mobility Onlineby 1 March every year.  

Admission requirements
  • To be eligible for exchange at UIB, nominated students must have completed at least 60 ECTS credits at bachelor's level (equivalent to one full year of studies) before the start of the exchange period.
  • At the time of the application, students must provide documentation of a minimum of 30 credits. Official transcript/documentation must be uploaded by the application deadline: 25 April for the autumn semester or full academic year, and 15 October for the spring semester.

Uncompleted applications will not be processed!

2. Register nominated students

Fill out the following information for the students: 

  • Email address
  • Name (according to passport)
  • Gender
  • Date of birth in the format YYYY.MM.DD
  • Citizenship (according to passport)
  • Semester/s for admission:
    • autumn/ autumn+spring
    • spring/ spring+autumn 

Make sure that you fill out their personal details according to their passport. 

After completing the student information, click on "Add Nomination" to save the data.  

Application deadline for students:

  • 25 April for the autumn semester or a full academic year.
  • 15 October for the spring semester.
3. Upload documents

Partners may upload the required documentation on behalf of their students via Nomination web. 

We accept unofficial transcripts, translations, and proof of funding (for Non-EU/EEA students) when submitted directly by our partner universities

To be eligible for admission, nominated students are required to have completed at least 60 ECTS credits or the equivalent to one full year of studies before admission. When applying for exchange, students must provide documentation of a minimum of 30 ECTS credits.

  • 25 April for the autumn semester.
  • 15 October for the spring semester.

4. Confirmation email

Nominated students will receive a confirmation email (CC’d to nominator)  approximately 30 minutes after their nomination has been registered in the Nomination web. They will also receive a separate email containing the password required to access their online application.  

Once they have received the confirmation email, nominated students can begin their application in our online system, Søknadsweb.

5. Add nomination

Complete steps 2 and 3 for each student you wish to nominate for exchange.  

Please note that nominations cannot be edited. If you registered incorrect data, you must delete the nomination using the delete button, and then click “Add New Nomination” to start the process again. If you are not able to delete the nomination, email us at incoming@uib.no for assistance. 

Relevant information:

Courses for exchange students

UiB offers both open and restricted courses. Admission to restricted courses cannot be granted unless the student has prior knowledge and the required academic background. Furthermore, many restricted courses have a limited number of places. Therefore, qualified students nominated through an exchange agreement in a relevant subject area will be prioritized.

The  course list  provides a detailed overview of all the courses available to international exchange students.  

We expect partners to nominate their students within the subject area specified in the exchange agreement. In addition students choose courses from other subject areas (mainly open courses), preferably at the same faculty.  

Subject areas with very limited capacity

  • Earth Sciences (GEOV)
  • Biological Sciences (BIO) 

Subject areas are not open for exchange and bilateral students unless otherwise specified in the exchange agreement: 

  • Medicine
  • Dentistry
  • Music - Performance and Composition
  • Fine Art
  • Design 

 

English language requirements

Students are required to have at least level B2for all courses offered to exchange students, except for courses in English language and literature, which requires a higher level of English proficiency.

Required application documents

Nominated students must upload all the required documentation by the deadline. Incomplete applications will not be processed.

  • Transcript of records . A minimum of 60 ECTS is required for admission. The transcript must be issued in English or a Scandinavian language.
  • Alternatively, the student can upload the original transcript  together with a translation. 
  • Passport or national ID card (gender must be stated in the passport/ID card).
  • Documentation of funding: Citizens from countries outside EU/EFTA 

 

Additional documents for some students: 

Student housing

The private rental market in Bergen is not very accessible for international students, especially if they do not have a Norwegian ID number or a bank account in Norway. Therefore, new international students are offered a housing guarantee through The Student Welfare Organisation  (Sammen)

The housing guarantee secures accommodation in a student dormitory, but does not give a guarantee of room type or location. Room allocation is done at random.

Shared rooms will be allocated to short term students regardless of their application.

  • Family and couple apartments are not included in the housing guarantee.
  • Pets are not allowed at Sammen’s buildings (guide dogs are exempted).

Exchange students are entitled to  housing guarantee provided that they submit an application within the following dates: 

  • Autumn semester (start August): 1 April - 10 May
  • Spring semester (start January): 1 October - 1 November

Requests for disability-related accommodations are considered on a case-by-case basis and availability.  Supporting documentation (medical certificate), must be submitted to Sammen soon after submitting the application. 

Students with special needs

Students with special needs, disability or illness can apply for individual adaptation during their exchange period at UIB. Contact your faculty if you need special arrangements. 

UiB also offers special adaptations for examinations. Please note that the students will have to apply well ahead of the exam dates. 

Erasmus+ learning agreement

Learning agreements are signed at the Faculty Information Centres  after admission has been granted and the students have signed up for courses in Studentweb (UIB online registration system). Students will find the contact information and other details to fill in for their learning agreements at our website for students

Paper versions (including PDF-documents) of the university-specific learning agreements will be signed at the Faculty Information Centresafter the students have arrived in Bergen

Transcript of records

As a partner university, you will be sent a digital transcript or a link with a transcript from your returning exchange students.

To make sure the transcripts are valid, please check the following:

  • Emails with links from the Diploma Registry will have ikkesvar@vitnemålsportalen.no as the sender.
  • The link address (the URL) will start with http://vitnemalsportalen.no..
  • After clicking the link, an icon showing a padlock will appear next to the link address
