Privacy at the library

The University Library registers personal data in order to provide services such as requesting and borrowing materials, as well as access to digital reading lists. Here you can find information on how your data is handled in the library’s various systems, and where to find privacy policies for the main platforms.

What personal data does the library register?

In order to be a borrower at the University of Bergen Library, certain personal data must be registered in the library system Alma. The library records your name, date of birth, address, phone number, and email address. This information is used to contact you regarding pick-up notices, overdue reminders, and other matters related to your loans.

For students and staff at UiB, the Feide ID is also registered, allowing you to log in to the search portal Oria and the reading list system Leganto with UiB credentials.

Your library account is created and deleted according to your affiliation.

Student or employee at UiB

Once you have accepted an offer of admission at UiB, your personal data is transferred from the national student system (FS) to Alma. You are then registered as a library user and can log in to Oria, and request and borrow materials.

For UiB employees, personal data is automatically imported from the HR system. The student card, the student ID app, and the staff card all function as library cards.

When you finish your studies at UiB, your user account is deleted approximately one month after your UiB account is deactivated. At that point, all personal data is removed from the library’s systems. If you have outstanding loans or fees, your information will only be deleted once everything has been returned or paid. If you wish to continue borrowing materials after your affiliation with UiB ends, we will create a new account for you.

For employees who leave UiB, deletion jobs are run regularly in the borrower registry.

External user

Anyone with valid identification can become a borrower at the University Library. A national library card or a student card from another library can be used as a library card. Contact one of the University Library branches to be registered.

If you no longer wish to have an account in the library system, we can delete your library card and personal data. This is subject to all loans having been returned and any outstanding fees being paid. If there has been no activity on your account for three years, it will be deleted without further notice.

Loan and request history

As long as you have an active loan or a request that has not been fulfilled, the University Library stores this information. The personal data is deleted once the loan has been returned or the reservation is completed. The University Library does not keep any loan or reservation history linked to you as an individual.

Bergen Open Access Publishing (BOAP)

This statement explains how the University of Bergen Library collects and processes personal data in Bergen Open Access Publishing. The purpose of the privacy policy is to provide information about UB's processing of personal data.

About BOAP

BOAP is a publishing service hosted by the University of Bergen Library. BOAP offers researchers and research groups at the University of Bergen a free service for digital, open access publishing of journals and series.

The lawful basis and purpose of processing personal data

The journals and series hosted by BOAP collect, process, store and publish articles. Personal data is collected to make these operations possible. This includes information to enable the editorial process, information to readers on authorship, information about members of the editorial board and collecting aggregated data on readers for statistical purposes. The basis for processing personal data is user consent.

Processed data

The Open Journal Systems and Open Monograph Press software used in the service, processes personal data in several ways. Personal data in the service includes a) User registration data, b) Contributor metadata information, and c) General visitor information.

a) User data

The following personal information are mandatory and stored when users register:

  • First name
  • Last name
  • Affiliation
  • Country
  • Email address
  • Username
  • Password

By editing the user profile, registered users can also provide:

  • Middle name
  • Salutation
  • Website
  • Phone number
  • ORCID iD
  • Academic interests
  • Bio statement
  • Postal address
  • Signature
  • Profile image

b) Contributor Metadata Information

When submitting a manuscript with several contributors, the corresponding author will register the contributors. In general, the contributors are co-authors.  

The following personal information on contributors are mandatory and are stored:

  • First name
  • Last name
  • E-mail address
  • Country

In addition, it is possible to register:

  • Middle name
  • Website
  • ORCID iD
  • Affiliation
  • Bio statement

c) General visitor information

The service collects general visitor information for statistical purposes. The service also uses Google Analytics to collect statistics.

Exchange with third parties

Contributor data for published manuscripts is transferred on a regular basis to other services designed to index and disseminate scientific publications. Contributor data for published manuscripts is also openly available for harvesting through an OAI-PMH service. Examples of services used are DOAJ and Crossref. Indexing services used by the journals may vary. The publications will also by default be openly available for all to access and read. Of personal information, author names, affiliation and biographical information of the authors, information on editors and editorial boards and sometimes information on peer reviewers are shared.

Security measures

Login and authentication

System users and participants in editorial processes need to log in to BOAP. Users are authenticated as local users.

Securing the information

All data traffic in and out of BOAP is encrypted over HTTPS. Administrator user information is stored in a closed database internally in the application.

Søk & Skriv, https://sokogskriv.no, er laget for alle studenter som ønsker å lære mer om informasjonssøk og akademisk skriving, uavhengig av studiested og -emne. 

Formålet med behandlingen 

Søk & Skriv ber kun om persondata hvis du henvender deg til redaksjonen via vårt kontaktskjema. Disse persondata blir da innhentet og lagra inntil eposten slettes i redaksjonen: 

  • Navn 
  • E-postadresse 

Ingen sensitive personopplysninger blir samlet eller lagret.  

Besøksstatistikk 

Ulike handlinger (søk, oppslag osv.) blir sammenstilt og registrert for å kunne benyttes til statistikk. Dette blir gjort på en slik måte at ingen data kan spores tilbake til hver enkelt bruker. Statistikken blir lagra i inntil 36 måneder.  

Sikkerhetstiltak 

All datatrafikk i Søk & Skriv bruker kryptering over HTTPS.
